Bulk upload users with a spreadsheet

Adding or updating users one at a time doesn't scale when you're onboarding a team or reorganizing your site. With a bulk upload, a Company Administrator enters everyone's profile details into a single spreadsheet and adds or updates them all at once, so your user list stays current without the manual, one-by-one work.

  • Roles and Privileges: Company Administrator. The completed spreadsheet must be sent in, or the email approved, by the exact email address currently associated with an active Brainshark Company Administrator profile.
  • Prerequisites: The Batch Upload Utility installed on your computer, if you want to process the upload yourself instead of sending it to Bigtincan Support

The quick way

Do this step by step

Add new users

  • Download the most recent version of the User Bulk Upload Spreadsheet
  • Populate the spreadsheet with the new user information
  • Refer to the Column Headers and Values chart below

Update existing users

  • If you would like to gather a pre-filled form that contains all of your existing users, Company Administrators may gather a User Bulk Download spreadsheet from the application, under the Reporting tab
  • Refer to the Column Headers and Values chart below; any questions can be directed to Bigtincan Support

Note: All data in the User Bulk Upload Spreadsheet overwrites any existing data in the Brainshark user profile. Populate the spreadsheet with all current profile information plus any edits to be made.


Manage user group memberships

  • Group Names may be entered into Brainshark manually or systemically using the Group Bulk Upload Spreadsheet (download the Guide to Preparing the Group Upload Document)
  • Use columns named GroupName1 through GroupName20 to specify the groups a user should belong to. Enter the group names exactly as they appear in your site
  • If you're using Brainshark Learning, groups may affect dynamic enrollment into courses and/or curriculums
  • Users may only be added to 20 groups per User Bulk Upload form. If you need to add a user to more than 20 groups, this requires multiple forms
  • Refer to the GroupName section of the chart below for additional information

Note: Groups must exist in Brainshark before you process the User Bulk Upload Spreadsheet, otherwise an error will return.


Spreadsheet requirements

  • File must be in .csv format
  • Remove all commas (if editing in Excel), apostrophes, bars, and slashes in the spreadsheet — this includes names, titles, and email addresses
  • Use the spreadsheet exactly as it's formatted. Don't delete, add, hide, or rename any columns, and don't modify the headings or the format of the upload sheets
  • Include all required data. If a column doesn't apply to your use, leave it blank or set it to the recommended default using the chart below
  • Include the header row in the file
  • Delete any empty rows/columns by highlighting all columns to the right of the last column completed and all rows under the last row completed (right-click and select Delete), so no cells containing data cause the .csv upload to fail

Note: All fields on the user's profile can be updated except the username. If an upload is submitted with an updated username, a new user is created instead. To bulk update usernames, use the separate form that can be processed directly within Brainshark.

Note: Some fields in the User Bulk Upload form relate to sunset features. You don't need to fill out those fields.


Column headers and values chart

The following table lists the Column Headers in the User Bulk Upload Spreadsheet and the corresponding Column Values to include, depending on the action you want to take.

Required fields are marked with an asterisk (*) next to the Column Header name.

Column header Column value
Action Not required. When used, only the following values can be entered in this field; all other commands cause an error. Note: this field cannot be used to delete users or change usernames. Enter Add to create a new user (entering this for an existing user causes an error). Enter Update to update an existing user's profile (entering this for a user that doesn't exist causes an error). Enter AddorUpdateNonEmpty to only update the fields that have data populated. Leave the field blank to automatically Add if the user doesn't exist, and Update if it does.
CompanyDirectory* Required. All values in this field must be the same for the entire Bulk Upload Spreadsheet. Rows with a different value than the first row will not be added. Enter the login directory for the company — for example, if your Brainshark Site URL is www.brainshark.com/yoursite, enter "yoursite" (without quotation marks). Do not enter the complete URL.
UserName* Required. Enter the username to add/update within the Brainshark site specified in the Company Directory field.
Password* Required. If Action is Add: enter the password to use for the new user. If Action is Update: the existing password is maintained unless you enter a new one. The password field must contain a value for new users, even if using system-generated passwords — it must meet the password policy of the site specified in Company Directory. You could upload a simple password and require the user to create a new one on first login. Self-registration users note: if Ignore password on update is set, this column is ignored on update; if it's clear, the password is updated to this value.
LastName* Required. The last name of the user.
FirstName* Required. The first name of the user.
Title The title of the user.
Department The department of the user.
Phone The phone number of the user.
Email* Required. The email address of the user. Note: must be unique for each user and contain the appropriate "@" symbol and domain. Incomplete, inaccurate, duplicate, or missing email addresses will cause the upload to fail.
CompanyName The company name to which the user belongs.
CreatePersonalFolder Controls whether a personal authoring folder is created for the new user. Users with a personal authoring folder immediately have authoring rights once the spreadsheet is uploaded. If Action is Add: enter 1 for Yes or 0 for No. If Yes, also complete the MayRequestGA and MayMakeGAOwner fields. If Action is Update, this field is ignored — an existing authoring folder is not removed.
IsCompanyAdmin* Required. Controls whether the user is created as a company administrator, with elevated privileges to manage the Brainshark application and its use. Enter 1 for Yes or 0 for No.
MayEditProfile* Required. Controls whether the user may edit their own profile (name, address, phone, and communication preferences for newsletters/notifications). Enter 1 for Yes or 0 for No.
IsActive* Required. Controls whether the user is Active or Inactive. Inactive users cannot log in. Enter 1 for Active or 0 for Inactive.
Address1 The address 1 of the user.
Address2 The address 2 of the user.
City The city of the user.
State The state of the user.
Country The country of the user.
PostalCode The postal code of the user.
Custom (1–50) Custom fields can store user-specific information such as an employee ID, office number, or location. Not advisable for personal information (e.g. social security number) or other privacy-regulated data. 50 custom fields are supported.
UCI The Unique Company Identifier (UCI), if any, used by the company to uniquely identify the user — usually for SSO login purposes.
MayCreateInteractions Sunset/discontinued setting that used to determine if authors could create question slides — now available to all authors. You don't need to fill this out.
IsLearningAuthor* Required. Controls whether the user is a Learning Course Author. Only applicable if your company site has Brainshark Learning enabled. Enter 1 for Yes or 0 for No.
IsLearningManager* Required. Controls whether the user is a Learning Manager. Only applicable if your company site has Brainshark Learning enabled. Enter 1 for Yes or 0 for No.
IsLearningAdmin* Required. Controls whether the user is a Learning Administrator. Only applicable if your company site has Brainshark Learning enabled. Enter 1 for Yes or 0 for No.
MustChangePassword* Required. Controls whether a new user is prompted to change their password on first login. Enter 1 for Yes or 0 for No. If Action is Update and the company does not want existing passwords modified during upload, enter 0 for No.
DefaultApplication* Required. Sets the default application users see when they log in. To use the site default, enter "<<default>>" for each row. Other options (enter exactly as shown): UseCompanyDefault – use company default; ContentPortal – Content Portal; Favorites – Favorites; MyContent – My Content; Administration – Administration; MyEnrollments – My Enrollments (if Learning is enabled); CourseCatalog – Course Catalog (if Learning is enabled); MyCoursesandCurriculums – My Courses and Curriculums (if Learning is enabled); Coaching – Coaching (if Coaching is enabled). If not specified, users see the company default, Content Portal. Any other value returns an error. If the user doesn't have access to the specified application, they see the company default application.
DefaultHomePage* Required. Enter "<<default>>" for each row in this column.
MayRequestGA* Required. Applies when CreatePersonalFolder is enabled. Controls whether the user can request a guest author for a presentation. Enter 1 for Yes or 0 for No. If Yes, also complete MayMakeGAOwner.
MayMakeGAOwner* Required. Applies when CreatePersonalFolder and MayRequestGA are enabled. Controls whether the user may make a guest author the owner of their presentation. Enter 1 for Yes or 0 for No.
MayDeleteGAPres* Required. If MayRequestGA and MayMakeGAOwner are enabled, controls whether the user can delete presentations owned by a guest author. Enter 1 for Yes or 0 for No.
Bio Short biography of the user. If it contains commas or quotes, use quotation marks and standard quoting rules. Do not use line breaks (return, enter).
IMDisplayText Sunset/discontinued functionality. You don't need to fill this out.
IMLinkID Sunset/discontinued functionality. You don't need to fill this out.
IMLinkType Sunset/discontinued functionality. You don't need to fill this out.
GroupNames 1–20 Use to specify up to 20 groups the user should belong to. Groups must exist in your Brainshark site before running the upload; the name entered must exactly match the group name as it appears in the site (watch for leading/trailing spaces). Add groups starting with Group 1. We recommend copying the group name directly from your Brainshark site so it matches exactly, or the upload will fail. The group columns don't need to be exclusive to one group — for example, User 1 could be in Marketing (group1), Management (group2), Sales (group3); User 2 in Engineering (group1), Management (group2), IT (group3); User 3 in IT (group1), Engineering (group2), Tech Support (group3). Alert Bigtincan Support if existing user groups are to be updated when submitting the upload.
SecondaryEmail Secondary email for the user.
ReceiveBrainsharkNewsletter The Brainshark newsletter has been sunset/discontinued. You don't need to fill out this field.
ReceiveAdminBrainsharkNewsletter The Admin Brainshark newsletter has been sunset/discontinued. You don't need to fill out this field.
SendWelcomeEmail* Required. Controls whether to send the user an email with a randomly generated password and a link to the Brainshark site, or to use the default password identified in the required Password field. Note: only works if Ignore Password on update is turned OFF. If Action is Add, enter 1 for Yes (send the Welcome email with the randomly generated password once the upload completes) or 0 for No (don't send the email; apply the password entered in the Password field instead).
DisabledCreatePresentationFromWizard Wizards are a sunset/discontinued feature. You don't need to fill this out.
SSOKey The string identifier your company's identity provider passes to Brainshark to identify this user for single sign-on. Contact Bigtincan Support for help with this field and SSO configuration.
ReceiveGettingStarted Sunset/discontinued function that used to send a series of emails to new users about using Brainshark. You don't need to fill this out.
ReceiveViewingActivitySummary* Required. Determines whether to automatically send the user the Viewing Activity Summary Report for all presentations the user authors/creates. Enter 1 for Yes to send the report, or 0 for No.
ReceiveAdminNews Sunset/discontinued function that used to send an Administrator news communication. You don't need to fill this out.
ReceiveViewReceipts Determines whether to send the author or referring user a View Receipt email after every view on their content. Enter 1 for Yes or 0 for No. Sets to 0 if not populated on Update or blank Action.
ManagerUsername The username of the user's manager, if one is assigned.
UploadPresentations Controls whether the user can add Upload Presentations. Enter 1 for Yes or 0 for No (enter 1 if the user will be creating content). Sets to 0 if not populated on Update or blank Action. Note: must be combined with Authoring permissions to at least one folder to access the Create button.
CreateAnimatedContent Sunset/discontinued field that used to control if authors could upload PowerPoints with animations. All authors may now upload content with animations. You don't need to fill this out.
CreateChallenges Controls whether the user can create Coaching Activities. Only applicable if the site in Company Directory has Coaching enabled. Enter 1 for Yes or 0 for No. Sets to 0 if not populated on Update or blank Action.
HeadCoach Controls whether the user is a Challenge Administrator (Head Coach). Only applicable if the site in Company Directory has Coaching enabled. Enter 1 for Yes or 0 for No. Sets to 0 if not populated on Update or blank Action.
ReportingEnabled Controls whether the user can access the Reporting tab. Enter 1 for Yes or 0 for No. Sets to 0 if not populated on Update or blank Action.
CoachUsername The username of the user's Coaching Activity reviewer, if one is assigned.
Mobile The user's mobile phone number, for Multi Factor Authentication with Brainshark and Bigtincan Hub (if your company has access to both platforms).

Automate completion of the spreadsheet

How you populate the User Bulk Upload spreadsheet is your choice. You can complete it manually, or write a program to populate it from a feed from an HRIS or LDAP database. Any development required to automate populating the spreadsheet is the customer's responsibility. Regardless of the method used to populate the data, the spreadsheet requirements above must be followed.


Keep users up to date going forward

Once you've completed the initial loading of users, you may still need to maintain those users going forward — adding new users or modifying existing records. Do this using the User Bulk Upload spreadsheet, or by manually editing users through the Administration module. If you use the User Bulk Upload process for ongoing maintenance, Brainshark requests that you only send the delta going forward — a spreadsheet representing only the new or modified users. If a user record isn't changing, it doesn't need to be included in the update.


Upload the spreadsheet

When you're ready to start the upload, a Company Administrator can send it to support@bigtincan.com for processing. If you want Bigtincan Support to process your upload, include in the email your name, email address, telephone number, and your Brainshark Company ID (or full site URL starting with www.brainshark.com/xxxx).
