Do this step by step
- Click your profile drop-down menu and select Administration.
- Click Users from the menu on the left, then select Manage Users.
- You will see the list of all users on the Manage Users page. To edit the permissions, hover over the user’s name and click the three dot menu at the right. Select Roles & Privileges from the drop-down menu.
- In the Roles section, toggle specific roles and privileges on or off to assign options based on the user's needs.
- Company Administrator: Oversees the entire setup of the site, maintains how users interface with it, adds and deletes users, grants privileges, manages groups and folder permissions, and accesses global site settings.
- Learning Administrator: Configures the site’s overall learning settings, customizes default email templates, defines external content types, manages learning topics, and can edit or delete any course in the site (if enabled), plus all Learning Manager privileges.
- Learning Manager: Manages students and groups, adds or edits student profiles, assigns group memberships, enrolls students in courses, verifies course completions, and runs learning reports.
- Learning Author: Defines, creates, edits, archives, and expires courses and curriculums. Establishes completion criteria, enrolls students, schedules reminders, and generates reports on their own content.
- Coaching Activity creator: Creates new coaching activities, sets grading scales, and assigns reviewers.
- Head coach: Acts as a challenge administrator for coaching, with full access to view, edit, copy, download, or delete any coaching activity and submission across the company account.
- Can create Coaching challenges with Advanced Feedback: Allows the activity creator to enable AI-powered analysis of a participant's speech and vocal delivery scores.
- Can create Roleplay challenges: Allows the user to create roleplay activities with an AI roleplay partner.
- Presentation Author: Views, creates, edits, and distributes presentation content, moves content between enabled folders, and generates reports on created content.
- Create a personal authoring folder for this user: Automatically generates a secure, private authoring folder visible only to that specific user.
- Receive notification after every view on presentations shared: Automatically sends a view receipt email whenever someone views their shared content.
- Can request guest authoring: Sends email invitations to external contributors to record guest audio or upload content directly without needing a full author license.
- The Access section includes toggles for the following key settings:
- Account is active: Control whether the user can access your Brainshark site. If this is turned off, the user's account is considered inactive, and they will be prevented from logging in.
- Reporting: Enabling this checkbox grants the user access to the Reporting tab. Note that in order to successfully run reports on specific content, the user must also be granted authoring or administrative permissions for the folder where that content resides.
- Change password on next login: When this setting is enabled, the system will prompt the user to update and create a new password immediately upon their next successful login.
- In More permissions section, turn on the toggle to allow the user to Modify own profile.
- Click Save to apply your changes.
