- Roles and Privileges: Company Administrator, Learning Administrator, or Learning Manager
Do this step by step
- Click your profile in the top right and select Administration.
- Click Users in the left menu, then select Manage Users.
- Click Add User in the upper right.
- Fill out the required fields in the Profile tab, such as First Name, Last Name, Username, and Primary Email.
In the Access section, enable the Account is active toggle to make the user active.
Note: If the Account is active and the toggle under the Roles and Privileges tab is turned off, the user profile will be created, but the account will remain inactive and the user will be unable to log in.
Enable the "Generate new password" toggle to automatically send the user a welcome email containing their username, a randomly generated password, and a link to log in to the Brainshark site.
Note: Selecting this option grays out the standard "Password" and "Verify Password" fields, meaning you are no longer required to manually enter a password.
- Alternatively, you can create the password manually for the user, and then enable the toggle that requires them to change it upon first login.
- Enable Change password on next login, then the system will prompt the new user to update their password the very first time they successfully log in. This allows an administrator to assign a temporary default password during account creation, while ensuring the user immediately replaces it with their own private, secure password before accessing the Brainshark platform.
- Click Save.
