Automate content archive rules

Automating content archive rules lets you archive presentations that have not been viewed or edited within a specified period. This feature takes the manual content management work out of your hands and helps clean up your Brainshark site by organizing unused materials.

You need this to succeed

  • Plan: Bigtincan Basic Content, Bigtincan Content, Bigtincan Elite, Bigtincan Essential, Bigtincan Standard, Bigtincan Standard Plus
  • Roles and Privileges: Company Administrator

Do this step by step

  1. Navigate to Administration.
  2. In the left menu, click Advanced Options and select Archive Content Rules.
  3. For Time-based archive rules, set the rules for content to be archived based on how many times it has been viewed in a set time period, or the last time it was modified. Enter the number of days for each field, with a minimum of 90 days and a maximum of 999 days.
  4. For Views-based archive rules, enter a number of views that the content will be archived if it has not been viewed more than the minimum number of times in the last number of days you enter. For example, archive content with fewer than 10 views in the past 90 days. You can also add a modification date to the rule.
  5. Click Save.

    Note: Archived content can still be manually restored to an active state at any time, and it will auto-restore if the author views the content while logged into their account.
