View site statistics and storage usage

Monitoring your site and storage usage lets you quickly view high-level statistics for your Brainshark portal, such as the number of active users and active content. This helps you track overall platform adoption, manage storage capacity, and ensure your organization uses its resources effectively.

Do this step by step

View high-level site statistics:

The Administration dashboard shows a live count of who's active and what content is available.

  1. Click your user icon in the top right corner and select Administration.
  2. Review the number of Admins, Active Users, and Active Content. Admins are users with admin access. Active Users are everyone with an active account, including admins. Active Content covers both Presentations and Courses.
    • Click Manage next to any count to view more details.
  3. Review the Company Information section to see your Company ID, Brainshark URL, creation date, and active authors. Active authors are a subset of your active users and may include admins.

View your storage usage summary:

The Storage Summary breaks down how much storage your portal is using and where it's being consumed. You'll see total usage with and without audio/video, plus ranked lists of the top 10 presentations, users, and folders by storage. Archived content is listed separately.

  1. Click your user icon in the top right corner and select Administration.
  2. Click Content from the left menu, then select Storage summary.
  3. Review the Storage Usage Report for total current usage. The two rows show total storage and storage excluding audio and video files.
  4. In the Current Storage section, review the top 10 presentations, users, and folders consuming the most space. Each column shows the storage used and the percentage of total used.
  5. Scroll down to Archived Storage to see the same breakdown for archived content.
