Save a report as a template

Saving a report as a template lets you preconfigure a set of report parameters once (folders, date range, columns, filters, delivery method) and reuse them whenever you need the same data. Instead of rebuilding the same report every time, you open the template and run it in a single click.

This is useful when you want to:

  • Quickly rerun the same reports whenever leadership asks for an update.
  • Keep a consistent set of columns and filters across team members who run the same report.
  • Prepare a starting point for ad hoc reports you run consistently with the same settings.

Do this step by step

  1. Click Reporting.
  2. Under Standard Reports on the left, click Content, Learning, Coaching, or Administration depending on the type of data you want.
  3. In the table, find the report you want to turn into a template and click Edit in the Actions column.

    Example: Under Content, select Viewing Details by Presentation to see who viewed a specific presentation, when, and for how long.

  4. On the Report Basics tab, under Report Contents, choose what the report should cover:
    • Select All presentations in folder and pick a folder from the dropdown. Check Include subfolders if you also want content from nested folders.
    • Or select Presentations and click Find to pick specific items.
  5. Under When to run, open the Run report dropdown and select Save as template.

    Note: Selecting this option changes the Run report button in the top right to Save and adds a Name field below the dropdown.

  6. In the Name field, enter a name to help you identify this template later (For example, Monthly Sales Viewing Summary).
  7. Under Dates, select a Date range from the dropdown (e.g., Last 30 days, Previous month, Quarter to date).

    Tip: For templates, a rolling date range (such as Last 30 days) usually works better than a fixed start and end date. The data stays current every time you run the template.

  8. Under Output, choose a Format:
    • Comma delimited (*.csv): best for opening in Excel or analyzing data.
    • Acrobat (*.PDF): best for sharing or printing a finished report.
    • HTML: best for viewing inline in a browser or email.
    • XML: best for feeding data into another system.
  9. Choose how you want to receive the report when the template is run:
    • On-screen only: opens the report in your browser.
    • Email to: sends the report to one or more email addresses (separated by commas).
    • File transfer (FTP/SFTP/FTPS): sends the file to a configured file transfer location (set up the connection details on the FTP tab).
  10. Click the Report Options tab to select sorting preferences and choose which columns to include. The settings you see in the Report Options depend on the type of report you selected in the Standard Reports tab. For our example, Viewing Details by Presentation, you can configure the following:
    • Use the Available columns list and the arrow buttons to move columns into or out of Columns in report.
    • Use the 1st Sort, 2nd Sort, and 3rd Sort dropdowns to define how the data is ordered.
  11. If you selected Email delivery, click the Email tab to preconfigure the subject line and message body that recipients will see each time the template runs.
  12. Optionally, click the Filters tab to narrow the report data further (for example, by user group or other criteria). Filters saved in the template will apply every time you run it.
  13. Click Save in the top right to store your new template.

    Tip: Find your saved templates anytime by clicking Saved Templates under My Reports on the Reporting tab.

  14. Click the template name to see two options:
    • Run now: runs the report immediately with the saved settings.
    • Edit template: opens the template to update any parameter.
