Schedule automated reports

Use scheduled reports to automate data delivery on a daily, weekly, or monthly basis. Instead of manually running the same report over and over, you can set it up once and have Brainshark deliver it automatically to the people who need it.

This is useful when you want to:

  • Send a weekly viewing summary to sales leadership every Monday morning
  • Email a monthly content usage report to enablement stakeholders
  • Push a recurring data export to a shared folder via FTP for reporting or analytics

Do this step by step

  1. Click Reporting.
  2. Under Standard Reports on the left, click Content, Learning, Coaching, or Administration depending on the type of data you want.
  3. In the table, find the report you want to schedule and click Edit in the Actions column.

    For example, click Content, select Viewing Details by Presentation to see who viewed a specific presentation, when they viewed it, and for how long.

  4. On the Report Basics tab, under Report Contents, choose what the report should cover:
    • Select All presentations in folder and pick a folder from the dropdown. Check Include subfolders if you also want content from nested folders.
    • Or select Presentations and click Find to pick specific items.
  5. Under When to run, open the Run report dropdown and choose your schedule:

    • Schedule nightly: runs on selected days of the week.
    • Schedule weekly: runs every X weeks on selected days.
    • Schedule monthly: runs on a specific date or weekday each month.

    Note: Selecting a schedule unlocks the Scheduling tab (step 10) and changes the Run report button in the top right to Save.

  6. Under Dates, select a Date range from the dropdown (For example, Last 7 days, Previous month, Quarter to date).

    Tip: The date range defines the rolling window of data included each time the report runs. For example, pairing Last 7 days with a weekly schedule gives you a fresh weekly snapshot each time.

  7. Under Output, choose a Format:
    • Comma delimited (*.csv): best for opening in Excel or analyzing data
    • Acrobat (*.PDF): best for sharing or printing a finished report
    • HTML: best for viewing inline in a browser or email
    • XML: best for feeding data into another system
  8. Choose a delivery method:

    • Email to: enter one or more email addresses, separated by commas
    • File transfer (FTP/SFTP/FTPS): use this to push the report to a server (configure connection details on the FTP tab)

    Note: On-screen only is not a valid choice for a scheduled report, since there is no one watching the screen when the report runs.

  9. Click the Report Options tab to select which columns to include in your report.
  10. For email delivery, click the Email tab to customize the subject line and message body that recipients will see.
  11. Click the Scheduling tab to configure when the report runs. The options shown depend on the schedule you picked:

    • Nightly: check the days of the week the report should run (for example, weekdays only).
    • Weekly: enter how often it runs (every 1 week, every 2 weeks, etc.) and check the days of the week.
    • Monthly: choose either a specific day of the month (for example, the 1st) or a specific weekday of the month (for example, the first Monday).

    Note: Scheduled reports run between midnight and 8:00 AM Eastern time on the scheduled date. You cannot set a specific run time.

  12. Optionally, click the Filters tab to narrow the report data further (for example, by user group or specific criteria).
  13. Click Save.

    Tip: You can find, edit, or delete your scheduled reports anytime by clicking Scheduled Reports under My Reports on the Reporting tab.
