App Installation

Signing in with your Bigtincan account

Once the app is installed, the Bigtincan icon would be added to the top right corner in your Gmail account when being accessed in Google Chrome. Users can click on the Bigtincan icon, and then on the sign in button. This would open up the Bigtincan sign in page and the user can follow the prompts to complete the login process.

Bigtincan Toolbar

Once the Bigtincan for Gmail extension is installed in Chrome, a Bigtincan toolbar is added to the Gmail compose view for quick access to features like templates and adding files when writing emails.

Templates

The templates features, when enabled by the admins, allows users to access email templates provided to them or created by themselves (if allowed) and use it when creating or responding to emails in Gmail. This one click use of templates is a time saver for users and users can continue to modify the email after adding the email template to the current email.

Content Sharing

To add files from Bigtincan to the current email, users can click on the “Add Files” button in the Bigtincan toolbar which then opens up the Bigtincan side panel with options for Recommended content, Search and Ask Genie.

Recommendations

By default, Bigtincan for Gmail reads the current email context and provides content recommendations by using the terms from the email. All content recommendations, if shareable, have a + icon against each of them, for selecting the files to be attached on clicking the Attach button at the bottom of the side panel.

Search

Users looking for specific content can use the Search option.

Ask Genie

Get answers to your questions by clicking on the “Ask Genie” button and entering your questions. Ask Genie, powered by SearchAI, would provide you the answer along with relevant documents and users can also attach the relevant documents section here to attach content to the email.

View files within Gmail

There is a “View File” button present against each document surfaced, whether in the recommendations, search or relevant documents within Ask Genie. Clicking on the View File button would open up the file and the users can view the content without leaving their current browser.

Share Options

Sharing options can be accessed by clicking on the “Share Options” button within the Bigtincan toolbar in the Gmail compose view, or by clicking at the top right side corner “Settings” icon in the Bigtincan side panel. Depending on the sharing settings by the admin, users get the option to specify some of all of the below sharing options:

Set expiration for shared content
Include access form
Download content as PDF

Note: The sharing options should be set before attaching to the email for them to be in effect for the links added to the email.

Tracking activity on files shared

All files shared using Bigtincan for Gmail would show up in the Hub Share console within the Bigtincan apps. Users can navigate to the share console to view activity on the shared content. If the notifications are setup and enabled, then users would also get the notifications whenever content shared via Gmail is viewed or forwarded.
