Integrating Bigtincan with Zoom for Meeting Management

This guide will help you integrate Zoom with Bigtincan for efficient meeting management.

Step 1: Access the Preferences page

Navigate to the Preferences section of your Bigtincan account.

 

 

Step 2: Connect Zoom

Click the Connect button to begin integrating your Zoom account with Bigtincan.

By linking Zoom directly to Bigtincan, you’ll save time by managing all your meetings from one place. This will reduce the need to switch between platforms and lower the risk of missing important meetings.

Step 3: Authorize Access

Click the relevant icon to proceed with authorization. Select Allow when prompted to give permission to connect to Zoom.




Step 4: Schedule a Zoom meeting from the Bigtincan Meetings Dashboard

On the Bigtincan Meetings dashboard, select Zoom from the available scheduling options.

 



Step 5: Add the necessary meeting details and confirm meeting creation.

 

Step 6: View the Upcoming Meetings tab on the Bigtincan Meetings dashboard

Switch to the Upcoming tab to observe scheduled Zoom calls.

This feature helps your team stay informed about upcoming events and ensures you're fully prepared for each meeting.




Step 7: Log Meeting Information

Open the selected meeting and click Log Meeting to document the meeting as an activity in your CRM.

Logging the meeting in your CRM automatically saves all relevant details for tracking purposes, ensuring that the meeting is tied to the appropriate client record. This keeps your CRM up-to-date and helps with follow-ups, reporting, and overall client management.



Step 8: Add Files to a Meeting

In the Content section, click Add files to upload relevant documents or presentations. Select the desired files and click Add files again to attach them to the meeting.

Having all your necessary documents associated with a meeting ensures that everything is ready when needed.

 

Step 9: Start a Zoom Meeting

Click Meet Now, then select Zoom to initiate an instant meeting. Hit Launch Meeting to start the Zoom session.

The "Meet Now" feature enables quick, on-the-fly meetings when immediate discussions are needed.

 

 

Step 10: Record the Meeting for Post-Analysis

To enable post-meeting analysis, ensure that the meeting is recorded:

  • Click More and select Record.
  • Choose Record to the Cloud.

Recording your meetings allows for detailed review and analysis later on. You can revisit key moments, share knowledge with your team, and use the insights for training, which will help improve over time.

Step 11: Monitor Active and Past Meetings

As a manager, monitor your team’s active meetings from the Meeting Now section and Join the call if needed. Switch to the Previous tab after the session to view completed meetings.

 




Step 12: Analyze the Meeting Summary

View the Meeting Details Summary powered by Genie AI to review key insights, summaries, and action items.

 



Step 13: Playback the Meeting

Access the Meeting Playback page to review the recording and speaker spotlights.

By revisiting meeting playbacks, you can learn from your interactions and use the feedback to improve future performance. It’s a great way to reflect on what worked well and where you can adjust to improve the next client interaction.

 

 

Step 14: Review the Sales Pitch Recommendations

Explore the Sales Pitch Recommendations generated by Genie AI after the meeting. Observe the strengths and weaknesses identified during the session in the Genie AI-powered summary.

These recommendations are tailored to your performance, helping you refine your sales pitch over time. The more you improve, the better your chances of success in future meetings, leading to higher win rates and increased sales.

Understanding your strengths and weaknesses helps you continuously refine your approach. By making small adjustments based on this feedback, you’ll see a big impact on the success of your meetings and overall business growth.



 

 

 

Removing the app


To disconnect Zoom from Bigtincan, navigate to the active integration settings, click the Disconnect button, and confirm the action.

This will remove the Zoom integration from your account. It’s useful if you need to change settings or stop using Zoom with Bigtincan. This will ensure that your integration setup is always current and relevant to your team’s needs.
