Digital Sales Room Templates are customizable sharing frameworks designed to create streamlined and personalized buying experiences for your customers. These templates give sellers a professional starting point to showcase the right information, at the right time, in a collaborative and visually compelling space.

Enabling Digital Sales Room (DSR) Templates

Admin Settings

Configuration Bundle

Enabling the configuration bundle setting ‘Room Template Management’ found in Configuration Bundles > UI > Templates allows users to access the Room Template Dashboard. 

Users do not need access to the ‘Room Template Management’ Dashboard to create digital sales rooms using Templates. Permission to use templates is granted to users and groups at the template level in the Room Template Dashboard.

 

Custom Fonts & Default Fonts

Administrators can upload Custom Fonts to manage brand-specific typography and set Default Fonts for use across Room Templates. To learn more, read Digital Sales Room Templates: Managing Fonts.

 

Color Palettes

Administrators can define and save brand colors for consistent use across Digital Sales Room templates. Instead of selecting colors individually for each widget, create a palette with your brand colors and apply them quickly wherever color options appear. Room Template Dashboard

The Room Template Dashboard, accessed from the Template option in the left hand navigation menu, displays all of the Templates created in your tenant. Users with access to the Template Dashboard can view all templates, create new templates, edit templates where they have been granted permissions, and create a Room using those templates.

When hovering over a template in the dashboard users will see a more options menu (...). In the more options menu users have the ability to Preview the template and make a Copy of the template, while users with edit permissions can manage permission, and delete the template. 

Users can sort each column of the template dashboard and search templates by name to find the template they are looking for.

 

Template Settings

Template Settings let you configure which color palettes and fonts are available to ensure brand consistency when users create Rooms from a specific template.

Template settings are accessed by clicking the gear icon in the top navigation menu while editing a template.

 

Fonts

Determine which fonts Room creators can use and which font serves as the template's default.

Template font:

  • Sets the font for all widget titles and default text throughout the template
  • Creates visual consistency for structural elements
  • Choose from system fonts or administrator-uploaded custom fonts

Text fonts:

  • Determines which fonts are available in text widgets
  • Choose multiple fonts to provide formatting flexibility
  • Room creators will only see these fonts when editing text content
  • Select from system fonts or custom fonts

If administrators have locked font settings at the platform level, these options may be restricted or unavailable. Contact your administrator if you need different font permissions.

 

Color Palette Settings

Control which color palettes are available when users customize layouts, text, and widgets in Rooms created from this template.

To configure color palettes:

  • In Template Settings, find the Colors section
  • Enable one or multiple Color Palettes from the list
    • Use Search or Sort to find the palette you need
  • Choose whether to ‘Restrict colors when creating shares from this template’

Users creating Rooms from this template will only see the colors you've selected when customizing: 

  • Layout background colors
  • Welcome widget backgrounds and text 
  • Text widget colors
  • Other widgets with color option

When "Restrict colors when creating shares from this template" is enabled, users can only select from the color palettes you've chosen. The color picker will not be available, ensuring strict adherence to your selected brand colors.

 

Layouts

A layout is a distinct, containerized section of a template that organizes and groups widgets. Layouts help users structure content into logical sections, separating different types of information and improving the visual flow of the Digital Sales Room. 

Each layout can contain multiple widgets arranged in columns or rows, allowing users to build the exact format they need for their Room.

To add a layout: Drag and drop it from the sidebar into the template editor.

 

Layout Options

Full Width: A single column spanning the entire page width. Best for hero content, large images, or introductory text that deserves full attention.

Half Split: Two equal columns side by side. Ideal for comparing information, showing before/after, or pairing text with images.

Thirds Split: Three equal columns. Use for displaying multiple related items like feature lists, team members, or pricing tiers.

Left Focus: Two columns with the left column taking up more space. Use when the left-side content is more important or when creating visual variety after a Right Focus layout.

Right Focus: Two columns with the right column taking up more space. Use when the right-side content is more important or when creating visual variety after a Left Focus layout.

 

Layout Settings

Layout Settings let you customize the appearance and behavior of individual layouts within your template. Control background styling, lock content, and control the display width to create the exact visual structure you need.

Access layout settings by hovering on a layout in the template editor and clicking the gear icon in the top left corner of the layout.

Background Styling

Customize how your layout appears by adding background colors or images.

Background Color:

  • Select from your available color palettes or the color picker
  • Use background colors to create visual separation between sections
  • Match brand colors or create visual hierarchy
  • Leave blank for a default white background

Background Image:

  • Upload an image to display behind the layout's content
  • Useful for hero sections, branded backgrounds, or visual interest
  • Images are uploaded directly from your desktop

Ensure sufficient contrast between background images and widget content for readability

When using background colors and images, test with actual content to ensure text remains legible. Consider using darker overlays or selecting images with clear space for content placement.

Layout Settings

Full Width

  • Expands the layout row to take up the full width of the screen
  • When disabled, the layout maintains standard content width with margins
  •  Enable this for:
    • Hero sections that should span edge-to-edge 
    • Background images that need maximum impact 
    • Visual breaks between content sections
  • Disable this for:
    • Text-heavy layouts that benefit from reading width constraints
    • Maintaining consistent margins with other layouts
    • Standard content sections

Show When Empty

  • Display the layout even when it contains no widgets
  • Useful for maintaining template structure while users build their Room
  • Helps users understand where content should be added
  • Disable if you want empty layouts to collapse and not take up space

Lock Content

  • Prevents Room creators from editing or removing any widgets within this layout
  • When locked, all widgets in the layout become read-only
  • Use this to: 
    • Preserve critical sections like legal disclaimers or required branding 
    • Ensure consistent messaging across all Rooms created from this template 
    • Protect pre-configured content from accidental changes
  • Users can still view locked content but cannot modify, delete, or add widgets to locked layouts

 

Widgets

Widgets are the building blocks of your Digital Sales Room template. A widget is a modular, pre-built element that can be added to a template. Widgets provide specific functionality, visual elements, or content blocks without requiring coding.

To add a widget: Drag it from the sidebar into any layout in your template

 

Image Widget

Display single images, logos, or graphics by uploading them directly from your desktop.

Image Widget Settings

Choose how your image displays within its container to achieve the visual effect you need:

Image Fit Options

  • Fill - Stretches or compresses the image to completely fill the space. Use this when you need every pixel of the container covered and don't mind if the image appears distorted.
  • Contain - Shows your entire image without cropping, adding empty space if needed. Best for logos, diagrams, or images where viewers need to see every detail without distortion.
  • Cover - Fills the entire container while maintaining the image's proportions, cropping edges if necessary. Ideal for hero images and backgrounds where visual impact matters more than showing every edge.
  • None - Displays the image at its exact original size. Use this when pixel-perfect accuracy matters, such as screenshots or graphics designed at a specific size.
  • Scale-down - Intelligently chooses between None and Contain, showing the full image but never enlarging it beyond its original size. Great for images that vary in size but should never appear pixelated.

Show when empty - Keep the image placeholder visible even without an uploaded image, helping users know where images belong.

Lock widget - Prevent users from changing or removing this image, ensuring brand consistency or preserving critical visuals.

When to use: Hero images, product photos, company logos, team headshots, or any visual content that enhances your Room's message.

 

Welcome Widget

Create a personalized greeting that sets the tone for your Digital Sales Room. The Welcome widget helps visitors feel acknowledged and provides context for their visit.

Welcome Widget Settings

Welcome Message - Add a pre-defined greeting that appears by default. Users can customize this message when creating their Room if the widget isn't locked. Use this to provide consistent messaging while allowing personalization for Room Owners.

Image - Upload a custom image to accompany the welcome message. If no image is set, the Room owner's profile picture automatically appears, adding a personal touch and putting a face to the conversation.

Show Date - Display the current date and time in the welcome message. Useful for time-sensitive content, event-based Rooms, or simply adding context about when the Room was accessed.

Background Color - Select from the color picker or from your custom Color Palette to match your brand or create visual hierarchy. A distinctive background helps the welcome message stand out and sets the visual tone for the entire Room.

Text Color - Choose text color from the color picker or from your custom Color Palette to ensure readability against your background and maintain brand consistency.

Show when empty - Display the welcome widget placeholder even without content, guiding users to add their greeting.

Lock widget - Prevent Room users from editing the welcome content, ensuring consistent messaging across all Rooms created from this template.

When to use: At the top of your template to greet visitors, introduce the Room's purpose, or provide personalized context. The Welcome widget creates an immediate personal connection with your audience.

 

File

Upload a single file for users to view, download, or interact with directly in the Room. Use the File widget when you want to share one important document, while the File Group widget is better for multiple related files.

File Widget Settings

Default View State - Control how the file widget appears when visitors first open the Room:

  • Expanded - The file thumbnail is displayed drawing attention to important documents you want prospects to engage with right away.
  • Collapsed - The widget is collapsed, keeping the Room clean and allowing visitors to expand files they're interested in. Ideal for supplementary materials or when you have multiple files that might overwhelm if all expanded.

Hide Title/Description - Remove the title and description fields, creating a cleaner look when the file name alone provides sufficient context or when you're embedding files that don't need additional explanation.

Show when empty - Display the file widget placeholder even without an uploaded file, helping users know where to add documents when building their Room.

Lock widget - Prevent Room users from changing or removing this file, ensuring critical documents like proposals, contracts, or standardized materials remain consistent across all Rooms.

When to use: Key proposals, pricing documents, contracts, product specifications, case studies, or any single document that requires focused attention. For multiple related files, use the File Group widget instead.

 

Text

Add written content with full formatting control. The Text widget provides a rich text editor where you can format headings, create lists, add links, and style your content however you need.

Text Widget Settings

Index - Make this text searchable within the Room's SearchAI functionality. Enable this for important content you want visitors to easily find, like key product benefits or FAQ answers. Disable it for text or content that doesn't need to appear in search results.

Toolbar Inline - Move the formatting toolbar to follow your cursor as you type, instead of keeping it fixed at the top of the widget. This is particularly useful for text widgets with large amounts of content, where scrolling back to the top toolbar would disrupt your workflow. With inline toolbar enabled, formatting controls appear right where you're working.

Transparent Background - Remove the background color from the text widget, letting your page's background show through. Use this to create seamless text blocks that blend naturally with your overall design, especially when layering text over colored layouts or images.

Lock widget - Prevent Room users from editing this text, ensuring consistent messaging like value propositions, legal disclaimers, or standardized instructions remain unchanged across all Rooms.

When to use: Product descriptions, value propositions, instructions, FAQs, terms and conditions, or any other written content.

 

File Group

Upload and organize multiple related files in one widget. The File Group widget is ideal when you need to share document bundles, resource libraries, or collections of materials that belong together.

File Group Widget Settings

Default View State - Control how the file group appears when visitors first open the Room

  • Expanded - The file list displays, drawing attention to important document collections you want prospects to engage with right away
  • Collapsed - Only the widget title shows initially, keeping the Room clean and allowing visitors to expand file groups they're interested in. Ideal for supplementary materials or when you have multiple file groups that might overwhelm if all expanded

Hide Title/Description - Remove the title and description fields, creating a cleaner look when the file name alone provides sufficient context or when you're embedding files that don't need additional explanation.

Show when empty - Display the file group placeholder even without uploaded files, helping users know where to add documents when building their Room.

Lock widget - Prevent Room users from changing or removing files in this group, ensuring consistent document bundles like onboarding materials or standard resource packages remain the same across all Rooms.

Default View - Choose how files are displayed to visitors

  • Grid View: Shows files as cards with thumbnails, making it easy to scan visually and identify files by type or preview. Best for mixed file types or when visual recognition helps.
  • List View: Displays files in a compact list format with details, making it easier to read file names and details. Best for text-heavy file names or when space efficiency matters.

Grid View Rows - Set how many rows of files display before pagination begins. Fewer rows keep your Room concise; more rows reduce clicks for visitors browsing large file collections.

List View Rows - Set how many rows display in list view before pagination. Control this separately from grid view to optimize each display format.

Show Full File List - Display all files without pagination, letting visitors see the entire collection at once.

Hide Sort - Remove the sorting controls, keeping files in your specified order. Use this when file sequence matters (like a step-by-step guide) or when you don't want visitors reordering your carefully arranged content.

Hide Title/ Description - Remove the title and description fields, creating a cleaner look when the file name alone provides sufficient context or when you're embedding files that don't need additional explanation.

When to use: Product documentation bundles, case study collections, resource libraries, training materials, or any time you need to present multiple related files together. For single important documents, use the File widget instead.

 

Contacts

Default View State - Control how contacts appear when visitors first open the Room.

  • Expanded: Contact details display when the Room is opened, making it easy for visitors to identify and reach the right people without extra clicks. Best when contacts are a priority touchpoint
  • Collapsed: Only the widget title shows initially, letting visitors expand when they need contact information. Ideal when contacts are supplementary or when you want to keep the Room focused on other content first

Show when empty - Display the contacts widget placeholder even without added contacts, helping users know where to add team members when building their Room.

Lock widget - Prevent Room users from changing or removing contacts, ensuring the right team members remain consistent across all Rooms created from this template.

 

External Links

Add links to external websites, resources, or tools that complement your Room's content. The External Links widget helps visitors access additional materials, reference sites, or related tools without leaving the context of your Digital Sales Room.

  • Expanded: Links display when the Room is opened, making it easy for visitors to access external resources right away. Best when these links are essential to understanding your content or when you want to drive traffic to specific sites
  • Collapsed: Only the widget title shows initially, letting visitors expand when they need external resources. Ideal when links are supplementary or reference materials that not all visitors will need

Show When Empty - Display the external links widget placeholder even without added links, helping users know where to add resources when building their Room

Lock widget - Prevent Room users from changing or removing links, ensuring critical external resources like company websites, product demos, or partner portals remain consistent across all Rooms created from this template

When to use: Product demo sites, company websites, partner resources, industry reports, comparison tools, sign-up pages, scheduling links, or any external content that supports your Room's purpose. Keep links relevant and purposeful to avoid overwhelming visitors with too many destinations.
