Can I add custom fields to my presentation guestbook?

Company Administrators have the ability to create and enable up to 10 custom field labels and may allow authors to override the label on those custom fields as well.

To apply custom fields to Guestbooks:

  1. Navigate to Administration via the user icon in the top right in Brainshark.
  2. Click Company, then Presentations, then Guestbook from the menu on the left.
  3. Select the checkboxes under the Enabled column for any custom fields you would like to enable.
  4. Enter a Custom Label for each field name enabled.
  5. Select the checkbox 'Update ALL existing presentation guestbooks." Please see note below. If authors have the ability to edit their own Guestbooks, this will override those changes
  6. Click Save near the top-right of the page to save this change.

To change the custom field labels:

  1. Follow steps 1-3 above.
  2. Enter new text for each textbox under the Custom Label column.
  3. Select the checkbox 'Update ALL existing presentation guestbooks." Please see note below. If authors have the ability to edit their own Guestbooks, this will override those changes
  4. Click Save near the top-right of the page to save this change.

Note: Once the fields have been designated, the field names should not be changed at an Administration level using the Update ALL option, unless the integrity of the data collected for that custom field is not an issue.

For example: If your custom field 1 is State, and while a presentation is active and being viewed, field 1 is changed to City, data collected will change in the middle of the report.  This means the first part of the data collected for a presentation will have the state information in the custom 1 field, and the latter part of the report will have city information in the custom 1 column. 

 

To make a customized dropdown list for a Field Name:

  1. Navigate to Administration via the user icon in the top right in Brainshark.
  2. Click Company, then Presentations, then Guestbook from the menu on the left.
  3. Locate the custom label you want to edit and select the checkbox "Choose from list?".
  4. Enter text to appear in dropdown separated by semi-colons (;); see below.

  5. Select the checkbox 'Update ALL existing presentation guestbooks." Please see note above. If authors have the ability to edit their own Guestbooks, this will override those changes
  6. Click Save near the top-right of the page to save this change.

To allow authors to override the custom guestbook field labels per presentation:

  1. Navigate to Administration via the user icon in the top right in Brainshark.
  2. Click Company, then Presentations, then Guestbook from the menu on the left.
  3. Select the checkbox "Allow authors to override custom guestbook fields."
  4. Click Save near the top-right of the page to save this change.
