Student workflows for course session Waitlists

If your organization has Brainshark Learning enabled, Learning authors can create course event sessions with waitlists. When a session is full, learners can join a waitlist for their preferred time slot, ensuring fair access and providing benefits for both learners and administrators. This article will detail the workflows for students and Waitlists.

 

Step by Step workflow for students on course session Waitlists

 

  1. Attempt to Enroll in Preferred Session
    When a student tries to enroll in a course session that is already full, they are presented with the option to join the waitlist for that session.
  2. Join the Waitlist
    The student selects to join the waitlist. Their position on the waitlist is determined by the order in which they joined (first-come, first-served).
  3. Monitor Waitlist Status
    While on the waitlist, students may monitor their status or receive notifications if their position changes or if a spot becomes available.
  4. Auto-Enrollment When a Spot Opens
    If a seat becomes available in the session, the system automatically enrolls the first student on the waitlist into the session.
  5. Automatic Unenrollment from Backup Sessions
    If the student had previously enrolled in a backup session, they are automatically unenrolled from that backup once they secure a spot in their preferred session.
  6. Confirmation and Next Steps
    Once enrolled, students receive confirmation and can proceed with any pre-session requirements or communications.

 

How do I join a Waitlist?

  1. Navigate to the Learning tab in your Brainshark account followed by Course Catalog.
  2. Search for the desired course with sessions.
  3. Click on a Course Event card and enroll into the course.
  4. If there is a waitlist enabled for a specific course session and the session is full, you will see an option to Join Waitlist.
  5. You can select a session and join a waitlist if desired. Click confirm.
    • If your company does not require session selection at time of enrollment, you do not have to select a session, but can still select to join a Waitlist.
    • If your company requires session selection, you must choose a session and can choose to also join a Waitlist.
    • Once you have confirmed your selections, you will see them listed and can make edits as needed.

 

How do I know if I am on a Waitlist for a course?

  1. Students can see if they have been Waitlisted for a session from the course event card on the My enrollments tab as well as within the course details view.

 

How do I edit my session choice and leave a Waitlist?

  1. Click Edit Selection to change your session date and/or join or leave a Waitlist.
  2. If you have selected a session previously, you can deselect the session and choose an alternate session (if available).
  3. If you have joined a Waitlist, you can deselect the waitlist and select a different Waitlist (if available).
  4. Once you have finalized your changes click Save and confirm your choices.

Note: Authors and administrators can set how many days before the session auto-enrollment stops, or directly enroll students from the waitlist if needed.
