Sharing: Comments Settings

Overview

Digital Sales Rooms support both asynchronous and real-time collaboration to help buyers and sellers communicate efficiently in one place. Users can leave contextual comments on specific documents, pages, or sections to ask questions, share feedback, or assign tasks. Comments are threaded to support focused discussions and can include mentions or task assignments to keep next steps clear. All comments are visible to relevant participants and stay linked to the content they reference, making it easy to follow conversations and maintain context over time.

 

Settings

Configuration Bundle

Administrators can control which users have access to the Comment feature.

In Platform Configuration > Configuration Bundles > Sharing admins can enable the ‘Can Comment on Share’ setting which allows users assigned to that configuration bundle to use the Comment feature within Digital Sales Rooms. Comments are an optional feature in Digital Sales Rooms and users who have the feature enabled can turn Comments on or off when creating a Room or when editing the Room settings. 

 

Default Setting

Administrators can determine whether Comments are enabled in Digital Sales Rooms by default.

In Platform Configuration > Sharing > Default Settings - Room Defaults admins can enable or disable the ‘Allow Comments’ setting. When enabled, the ‘Add Access Form by Default’ setting is automatically enabled and can not be disabled unless ‘Allow Comments’ is disabled. Comments can only be used within a Room in conjunction with Access Forms.

 

Room Setting

When Creating or Editing a Digital Sales Room users who have the Comment setting enabled can turn comments on or off in each Room individually.

In the Create Share modal there is a setting under ‘Options’ to ‘Allow Comments’, when the ‘Allow Comments’ setting is enabled the ‘Include Access Form’ setting will automatically be enabled. Users can change the Access Form, but can not disable that setting while ‘Allow Comments’ is on in a Room.

In the Share Details page when the user selects Edit Settings there is a setting to ‘Allow Comments’, when the ‘Allow Comments’ setting is enabled the ‘Include Access Form’ setting will automatically be enabled. Users can change the Access Form, but can not disable that setting while ‘Allow Comments’ is on in a Room.

 

Comments in a Room

When viewing a Room, internal and external users can leave contextual comments directly on documents, pages, or specific sections to ask questions, give feedback, or assign tasks. Comments are threaded for clarity of discussions, supporting mentions and task assignments to keep actions clear. All comments remain linked to the content they reference, making it simple to track conversations and maintain context over time.

 

Comments

To leave a comment in the Room select the Comment icon in the top navigation bar. The icon on the left allows users to create a comment, the icon on the right opens the Comment Sidebar, allowing users to see all comments within the Room sorted by date created.

After selecting the ‘Create Comment’ icon users can place the comment pin anywhere within the Room, on an image, within a document, or even at a specific moment within a video. Once the comment pin is placed users can write their message, mention other users within the Room, attach a document from their local device, and record a voice, video, or screen recording.

 

 

Once the Comment has been saved users can change the status from ‘Open’ to ‘In Progress’ or ‘Resolved’, Assign the comment to another user in the Room, unsubscribe from notifications to this specific comment, or delete the comment thread. Users can also copy a link to the comment to share in an external system, the link will take users directly to the comment within the Share so they do not need to find the location of the comment.

 

 

Comment Sidebar

To view all comments in the Room select the Comment Sidebar icon in the top navigation bar. The icon on the left allows users to create a comment, the icon on the right opens the Comment Sidebar, allowing users to see all comments within the Room sorted by date created.

 

After selecting the Comment Sidebar icon all comments in the Room will be visible to the user in a sidebar on the right side of the page. Users can engage with the comments directly in this sidebar by replying to a comment, updating the comment status, or open the comment location within the Room by selecting the ‘open in’ button. Users can also search for comments using keyword search, and filter the comment list by status, users assigned to the comment, and users who have created the comment. The eye icon allows users to toggle comment visibility on and off allowing them to view the content without comment pins obstructing their view.

 

 

Comment Notifications

When viewing a Room, users can manage their comment notification preferences by selecting the profile icon in the top navigation bar and then selecting ‘Notifications’. Here users can manage their content and comment notification settings. Content notifications are disabled by default, while comment notifications are enabled by default. These notification settings are specific to each Room, so users can granularly manage the notifications they receive.
