Internal Roles & Transfer Room Ownership - User Guide

Overview

Enterprise sales teams are made up of diverse roles - Account Executives, Account Managers, Sales Engineers, Customer Success and many more - all playing crucial parts in securing new business and maintaining customer relationships. Each role comes with its own responsibilities, requiring varying levels of access to key systems and information.

 

Internal Roles in Digital Sales Rooms empowers teams to collaborate more effectively by granting role-specific permissions within a Room. Whether it’s an Account Executive needing full access to manage settings, CRM integrations, and access permissions or a Sales Engineer requiring content publishing capabilities to many different Rooms, permissions are designed to ensure that every team member has the right access to perform their role without unnecessary complexity or exposure.

 

Additionally, Internal Roles simplifies team transitions. When a Room Owner moves to a new territory or departs the company, ownership of the Room can be seamlessly transferred to another internal user. This ensures that workflows remain uninterrupted, key information stays accessible, and the team can maintain momentum without operational hiccups.

 

Using Internal Roles, enterprise sales teams can stay aligned, secure, and adaptable to change - key factors in driving successful customer acquisition and retention.

 

Internal Roles

When creating or managing a Digital Sales Room a Room Owner can add other internal users as collaborators within the Room assigning them specific roles that grant access to different capabilities within the Room. 

 

To start, navigate to the People tab on the Share Details Page. From there Room Owners will see an ‘Add people’ button. This opens a modal allowing the Room owner to search for other licensed users. Once they find the other users they want to add to their Room they can assign roles and save those users. The new collaborators will receive a notification informing them that they have been added to the Room. Room Owners and Co-owners can add other internal users to the Room at any time while the Room is active.

 

Room Owners and Co-owners can view the internal collaborators in the People tab. Here they can add more users, change user roles, and remove access for internal users.

 

Roles

Owner: Owners have full control over the Digital Sales Room including Room appearance, settings, content, and external user access permissions.

 

Co-owner: Co-owners have the same permissions as the Owner except they can not remove the Owner from the Room or transfer ownership of the Room..

 

Publisher: Publishers have the ability to manage all elements of content that are published in the Room.

 

Viewer: Viewers have the ability to view all content & insights in the Room but can not change any elements of the Room.

 

Internal Roles - Notifications

Admins can set the default notification settings for all Digital Sales Room notification types in Platform Configuration > Users > User Default Notifications

 

 

Email and in-app notifications will be enabled by default.

 

Users can manage their personal notification preferences in Profile > Settings > Notifications: Digital Sales Room Defaults

 

 

Transfer Room Ownership

 

Transfer a single Room

Room Owners can transfer Ownership of a single Digital Sales Room to another licensed user. To start, navigate to the People tab on the Share Details Page. From there Room Owners will see their own name under the Internal Roles section and a ‘Transfer Owner’ button will appear on the right side of the page. Clicking that button opens up a modal where the Owner can search for another user in the platform to transfer ownership to. Once the current Owner transfers ownership to the new Owner they will become a Co-owner in the Room - so transferring ownership of a Room does not automatically remove the previous Owner from having access to the Room.


Admin - Bulk Transfer Room Ownership

Admins can transfer one or more rooms to a new owner in a single workflow. To start, navigate to Platform Configuration > Sharing > Manage Shares. This is a new page in platform configuration that allows admins to see all Digital Sales Rooms that have been created in the platform, search by Room title, and filter by Status, Created Date, Expiration Date, and Room Owner. Admins can also expire or reactivate a 

Room from this dashboard.

 

 

Admins can select a single room from this list, or use the multi-select option in the right corner of the share list to select multiple Rooms to be transferred at once. Admins can select any number of Rooms to be transferred at once, but they can only select a single new Room Owner for those Rooms at a time.

 

When a Room or multiple Rooms are selected and the admin elects to transfer ownership a modal will open allowing them to search for the new Room Owner. All of the selected Rooms that will be transferred are displayed in a list along with the current Room owner. When a new Owner is identified the admin can transfer ownership. The admin will confirm they want to transfer one or multiple Rooms and then the new Owner will receive a notification that a Room or multiple Rooms have been transferred to them. The previous Owner will also receive a notification that their role has changed within the Room and they are now a Co-owner.
