Media Manager - Microlearning for Administrators

Microlearning for Media Manager

About Microlearning

Microlearning, the Modus Sales Hub’s just-in-time learning solution, allows Media Manager users at your company to create courses consisting of content and quiz-type lessons for delivery to different segments of your users.

How to access Microlearning in Media Manager

Microlearning is organized with our other Modus Create offerings and can be accessed via the Manage Courses option. If your organization does not yet have access to Microlearning, contact your Modus representative today about how to get started.

Microlearning Settings

If this is your first time accessing Microlearning, you will want to familiarize yourself with the account-level settings associated with this functionality. To do so, find the settings button on the main Courses page:

Microlearning Theme Settings

You can assign a special theme to the Microlearning in-app experience if you would like to differentiate it from the primary app theme set via Theme Builder. Current theming options are set once at the account level, so changes to these settings will appear for every Microlearning user within Modus Communicate. Clicking ‘default’ will revert to the previously saved theme settings. All changes to the theme will appear in the App Preview window opposite all theme settings, so you can be sure of the changes you are making to your Microlearning instance:

Name

Media Manager administrators can provide a new name for their Microlearning instance by changing this field. For example, Company XYZ may want to name their Microlearning ‘XYZ University’.

Logo

The Microlearning logo appears in the upper-left corner of all Microlearning screens. It is recommended to not upload complex logos with wide variations of color or intricate details so as to ensure a pleasing experience for users on all device screens, large and small.

Theme Color

Adjusting the theme color for Microlearning is simple, either add your desired six-digit web hex code, use the click-and-drag color adjuster or pick from the predefined color palette to round out your Microlearning’s theme.

Video Response Review

microlearning_mm-video-review.gif

From the main Microlearning page in Media Manager you can review all user-submitted video responses from every course within your Microlearning instance. By default, the list of videos is sorted by status with new videos appearing on top of approved and declined. Filter your results easily by using the search function or re-sort the list at any time using the ascending and descending sort functions on any column.

Videos are displayed with a timestamp indicating when the video was submitted, as well as the related course name, who submitted the video, and its approval status.

You can bulk process all “New” videos by clicking on the “Process New” button on top of the video list. From here, any new video can be approved, denied, or have its status reset to new for review at a later date.

Any approved user video response will appear in the Featured Videos section of Microlearning in your Modus Communicate app.

Microlearning Courses

Courses are the core component of your company’s Microlearning instance. Courses consist of lessons, which can be constructed with content lessons or quiz lessons, but most course authors elect to design courses with a mix of both. All created courses for your Modus Sales Hub account are listed on the main Manage Courses page in Media Manager:

Course List

Opening the Manage Courses tab in Media Manager will display your account’s Microlearning courses. Click anywhere on the row of a listed course to open the course for editing. Use each column’s sort function, the search field (upper-right), and the page navigation (lower right) to find the course you are looking for. There are four columns of information for each course:

  • Course Name -- this is set using the Course Title property during course set-up
  • Date Created -- this field will automatically update whenever changes are saved to a published course
  • Status -- determined by the Status set within each course, will either display ‘Published’ or ‘Draft’
  • Actions -- provides quick actions to view analytics or delete a course. To edit, click anywhere on the row to open the corresponding course’s settings

Adding a new Course

Adding courses to Microlearning is done by first clicking the ‘Add’ button displayed at the top of the course list. Prior to creating any lessons, there are several details required before advancing to the Lesson Builder.

Note: Modus recommends preparing your course content in a template, like this one, prior to adding it to Microlearning.

Select an Audience

Every course is required to have an assigned audience. The audience can be set to everyone, meaning all app users, or a specific user segment, which you can select from a list of previously saved segments or a new segment that you can create right here within your course creator:

Screenshot 2023-11-17 at 1.21.57 PM.png

If this is your first time creating a Microlearning course, start off with creating a new segment. If you have already created a segment using notifications, you can use this segment for Microlearning as well. You can quickly adjust the segment based on your available filters: Region, Distributor, User Role, Group.  if your available filters aren’t enough, you can use the view setting to adjust the segment ad hoc.

Be sure to set the segment name and save your segment as needed.

Note: If you are planning on offering this course through open enrollment, it is still required that you assign a segment. We strongly recommend you create a test segment, which can be as small as just you, the course author, for testing the course prior to announcing it’s availability.

Course Details

Every course requires certain details which will provide important context to Microlearning users in Modus Communicate:

Screenshot 2023-11-17 at 1.22.44 PM.png

  • Course Title -- each course requires a title. It’s important to make each course title unique as this is the main property used for referencing courses elsewhere in Modus Communicate, i.e., notifications, analytics, and the course list in Media Manager.
  • Course Image -- The course image will display alongside the course title listed on the Course Catalog and My Courses pages within Microlearning.
    • Course Status -- Until a course is ready to be tested or administered to app users, keep the course status set to Draft. The draft setting will keep the course hidden from any assigned audience as you continue the course authoring process. Selecting the Published status will push the course to Microlearning in your Modus Communicate app upon saving the course. Newly published courses will trigger an automated notification to be sent to all users in the selected audience. Unpublish your course by resetting it to Draft status.
Note: To test the course, you must publish. If you must test the course, please make sure to have a segment of only your test user(s) as the selected audience to avoid releasing the course before it is ready for widespread access.
  • Course Description -- Along with the course title, a course’s description provides the necessary context for Microlearning users within Modus Communicate to fully understand what this Course entails. Information to consider adding to the course description is topics covered, learner expectations, and approximate time to completion.

Publishing a Course

Once all lessons have been created and you want to see how everything looks in Modus Communicate, you will need to publish your course. To do so, toggle the Course Status to “Published” and ensure the appropriate segment and enrollment settings are added to ensure the course is assigned to the appropriate app users. To commit the new settings, click the “Save & Exit” button at the bottom of the Course settings page.

Note: To test the course, you must publish. If you must test the course, please make sure to have a segment of only your test user(s) as the selected audience to avoid releasing the course before it is ready for widespread access.

Testing a Course

To test a course, you will still need to set the course status to “Published”. But, you should change all enrollment settings so the course only is viewable by the people who should be testing the course. To do this:

  1. Create a segment only with the test users listed. Save this segment with an appropriate “test” name for future use/reference
  2. Toggle off open enrollment for the time being.
  3. Once the course has been tested and any/all adjustments have been made, revert the segment and open enrollment options to the desired settings and “Save & Exit” the course using the option at the bottom of the Course settings page.

Adding and Managing Lessons

Lessons are at the core of Microlearning’s key capabilities -- it is where nearly all of your course content exists. Microlearning courses must consist of at least one lesson, but there is no limit to the number of lessons you can add to a course.

Lessons are made up of cards. The types of cards available to Microlearning authors depend on the type of lesson selected. Typically, Microlearning authors will include at least one Content Lesson and one Quiz Lesson, though we do offer a third Content + Quiz hybrid lesson.

Once there are at least two lessons present in a course, they can be reorganized by clicking and dragging the title cards left and right to order the presentation for all learners. Lessons inherit the settings of their parent course:

Types of Lessons

  • Content Lesson -- For information-based cards. Types of cards include content, video, record self, and weblink.

  • Quiz Lesson --  For testing knowledge. Types of cards include Multiple Choice, Multiple Choice/Multiple Answer, Fill in the Blank, True/False, Matching, and User Video Response

  • Content + Quiz Lesson -- A combination of both content and quiz lesson types. Used for testing knowledge in-line with information-based lesson content.

Creating Lessons with Lesson Builder

Once all required course information is entered, Microlearning authors are now able to add content to their courses in the form of lessons. To begin adding lessons, click the ‘Save and Add Lessons’ button within the Lessons container. Completing this step will create your course and open the Lesson Builder.

The Lesson Builder opens within your Media Manager.  In order to save a lesson, you must proceed with adding at least one card for the lesson to save.

  1. Add the Lesson Title
  2. Upload Lesson Image
  3. Upon adding the Lesson Image, you will be prompted to select the Lesson Type
  4. Upon Selecting the Lesson Type, you will be redirected to the Lesson Builder’s Editor, where cards are added to your Lesson.

  5. Select a Card type by clicking the big ‘+’ plus button in the middle of the screen and use the save button directly next to the card to save your lesson.
Note: There are two options for saving your lesson. The save button shown to the right of the active card, as mentioned above, will save your lesson and allow you to continue working on it. Saving via the Save & Quit button (only displayed in the right-hand menu column) will redirect you back to the course page. To continue editing you will need to re-select your lesson from the list located at the bottom of the course page..
  6. Confirm your changes have been saved via the lesson status indicator in the upper-right corner of your Lesson Builder window.
  7. Add a new card to your lesson again using the big “+” plus sign now beneath the first card. Select your card type and continue this step as necessary until your lesson is complete.

  • Navigate through your cards using the “^” up and “v” down buttons within the main card editor frame. Additionally, use the right-hand menu to rearrange your cards or simply navigate through your lesson.
  • At any time, you can delete a card using the red trash symbol directly adjacent to every card either via the main card editor frame or on the ‘Card Order’ right-hand menu screen
  • Change the order of your cards by click-and-drag the cards listed in the “Card Order” right-hand menu screen
  • Exit your lesson any time by clicking the “Save and Exit” button on the right-hand menu.

Customized Feedback

For each quiz card, you can elect to provide feedback based on whether the enrollee gave a right or wrong answer. Corresponding feedback will be provided based on the answer. You can use this functionality to reinforce information from content-based lessons inline with taking the quiz.

Quiz settings

  • Additional settings are provided for Quiz-based lessons. If you want to require Course enrollees to answer a certain number of questions correctly to pass, you must set a threshold for the quiz questions. Selecting a percentage via the threshold dropdown will automatically adjust the number of quiz cards an enrollee must answer correctly to pass.
    microlearning_lesson_quiz-settings.gif
  • Toggling the Show Feedback control in the Quiz settings will force all customized feedback from each quiz question to display upon the course enrollee answering each question.
